The process of working with Refreshing Travel
Step 1
We will schedule a 30-minute complimentary consultation. This is when you, the guest, will tell us exactly what type of vacation you want. We will listen and ask questions in order to ensure that we understand your travel preferences, desired destination, and travel companions.
Step 2
Next, we will use our expertise, knowledge, and reliable industry connections to create a custom itinerary from the initial consultation. It is our goal that your custom itinerary exceeds your travel goals.
Please note, a research and planning fee will be collected before beginning Step 2.
Step 3
Once the itinerary is prepared, you will receive an email with a proposed itinerary. This proposal will contain the deposit requirements, final payment information, and cancellation policies. You can approve the proposal or request a phone consultation to refine the itinerary.
Step 4
The itinerary has your approval! Next, you will submit your deposit. We will make the requested bookings and reservations. Please watch your email for receipts, and confirmation of payments you make.
Step 5
Your final payment has been applied! Any final documents for your trip will be emailed approximately 4 weeks prior to your trip start date. Your next task is to pack your bags and relax!! Remember, we are always here to answer any questions that you have before, during, or after your trip.
Fees
Customized Itineraries
Refreshing Travel charges a per-trip research and planning fee starting at $100. This fee is due after the initial consultation and prior to itinerary preparation. This fee includes research, planning, and quote presentation. We will design a trip to exceed your expectations by utilizing our global network of preferred suppliers and our professional expertise. Once the itinerary is approved, we confirm and service all trip components including flights, accommodations, transfers, guided tours, and activities. This fee is non-refundable.
Cruise-only
Refreshing Travel waives the planning fee for established clients on a cruise-only booking providing that the client has picked the destination and route.
For pre-and post-cruise itineraries, fees will vary depending on itinerary complexity.
New cruise-only clients will be assessed a one-time Customized Itinerary Fee to establish them with Refreshing Travel.
Group Travel
For groups traveling with a minimum of 4 rooms or cabins, the planning fee is $75 per room.
Refreshing Travel waives the planning fee for cruise groups with more than 10 staterooms.
Groups and tours hosted by Refreshing Travel will have planning fees waived.
Airline tickets
Air-only vacations will incur a $25 fee per segment on domestic airline tickets. International tickets will incur a $75 fee per segment.
Refreshing Travel will gladly bundle airfare and hotel trips as customized vacations. See fees for customized itineraries above.
TRAVEL INSURANCE
Refreshing Travel strongly recommends purchasing travel insurance to protect your travel.
We do not charge fees for the purchase of travel insurance.
Cancellation and change fees
These fees are in addition to any cancellation or change fees charged by airlines, cruise lines, hotels, tour operators, or other vendors as outlined in their terms and conditions. Refreshing Travel will charge no additional fees on travel canceled by the vendor.
Customized itineraries: $100 cancellation fee is to be charged to the credit card on file should the client cancel the trip for any reason.
Hotels and Cruises: $50 cancellation fee per hotel or cruise reservation.
Flights: Any reissued tickets will require a $50 (domestic) and $100 (international) ticket reissue or exchange fee and any supplier-imposed penalties. Penalties depend on airline booking terms and conditions.
Fees are based on the complexity of the trip and are calculated as an overall project cost after the initial consultation. Additional airline and travel management fees may apply, depending on the trip's intricacies.
All fees are non-refundable once paid.
